PART 1: ORDERING POLICY
📌 Pre-Orders Are a Commitment
Placing a Pre-Order with Geekloveph is a formal commitment to purchase. When you reserve an item, Geekloveph, in turn, places a reservation with our partner distributors.
When you Pre-Order:

A non-refundable deposit is required to secure your slot.

Abandoning a Pre-Order will result in forfeiture of your deposit.
- Changing your mind is not a valid reason for canceling a Pre-Order.

In cases of allocation cuts, deposit refunds are processed only if your account is in good standing (i.e., no abandoned orders).
📦 In-Stock/On-Hand Items
Products labeled as In-Stock are physically available and ready for shipping. All in-stock purchases are considered final.

No Refunds, No Cancellations: Once paid, in-stock orders cannot be canceled or refunded, even if you change your mind.

If ordered with a Backorder, both will be shipped together unless you request separate shipments (additional shipping fees apply).
📦 What is a Backorder?
A Back-Ordered Item is a product not currently on hand but available from our local distributor. These items are sourced per order and usually require 6–10 working days to arrive at Geekloveph before shipping to you.

Note: The 6–10 working days is an estimate. Delivery to us may take longer depending on distributor availability, logistics, or unforeseen delays.

Delays from the distributor do not qualify as a reason for cancellation, refund, or reimbursement.

PART 3: MANUFACTURER RELEASE DATES & ETA
⏱️ About Release Dates and ETAs
All estimated release dates (ETA) provided for Pre-Orders are subject to change by the manufacturer or supplier. These dates are projections only and are not guaranteed.
📌 Why Do Release Dates Change?

Production delays (factory or material issues)

Shipping or customs delays

Global events (e.g., pandemics, wars, logistics bottlenecks)

Manufacturer prioritization (popular items may get moved around)
Important:
Geekloveph does not control manufacturer schedules or customs processing. We rely on updates from official distributors and relay them to you as soon as possible.
⚠ What This Means for Your Order:

Early or late arrivals are normal.
-
Some products may be delayed by several months or over a year, depending on circumstances.

Changing your mind due to delays does not entitle you to cancel the order or refund the deposit.
✅ What We Guarantee:
- Deposits are secured for your order, unless the item is officially canceled by the manufacturer or distributor.
- If a product is canceled by the manufacturer or allocation cut and you have no abandoned orders, your deposit will be refunded in full or transferred to another order.
PART 4: SHIPPING & DELIVERY
🔔 General Terms

Shipping costs are the sole responsibility of the customer.

PreOrder and BackOrder product prices do NOT include shipping fees.

Shipping fees are determined once the product is in stock, based on destination, parcel size, and weight.

Customers will receive an Order Arrival Notification with the calculated shipping fee once the item is ready to ship.

Unpaid shipping = No dispatch.
🚛 Courier Options & Terms
🟧 J&T Express

Shipping fees must be paid in full prior to dispatch.

Includes: Standard bubble wrap + Geekloveph custom brown box for added protection.

Tracking: Provided upon shipout.
🟥 AP Cargo (For Large, Oversized Items)

For very large packages (e.g., items that require wooden crates for transport).

Shipping fee is paid via COD to AP Cargo upon pickup or delivery.

⚠️ All AP Cargo charges—including crating, storage, and other additional fees—must be paid by the customer.
🟨 LBC (Cash on Pickup/COD)

Shipping fee can be paid directly to LBC when you claim your parcel (COP) or upon delivery (COD).
-
LBC uses their own standard packaging. Geekloveph brown box is not included unless requested for additional cost.
🟩 Lalamove / Grab Express

Shipping fee is paid directly by the customer to the delivery rider.
-
Optional packaging: Customers may request Geekloveph brown box and bubble wrap for additional cost.

Tracking: Coordinated via the chosen delivery app.
🛒 Shopee Checkout (Optional | Additional Fees Apply)
If you prefer to claim your order via Shopee Checkout, please carefully review the following terms:
⚠️ Remaining balances must still be paid directly to Geekloveph (outside of Shopee).
📦 Packaging materials (Geekloveph brown box and bubble wrap) are charged separately.
❗ IMPORTANT: Once the product is handed over to the shipping provider, Geekloveph holds no responsibility for any loss, damage, or mishandling of the product while it is in transit. We strongly encourage selecting reliable couriers and insurance options (if available) to safeguard your purchase.
- In the unfortunate event that the product is lost during transit, Geekloveph will not issue a refund for any deposit or balance payment made. The risk of loss is transferred to the buyer once the item is dispatched from our warehouse.
❌ Orders processed through Shopee, Lazada, eBay, or other platforms do not qualify for GeekPoints.
By availing of Shopee Checkout for fulfillment, you acknowledge and agree to these terms.
🛵 GeekLoveph FREE Delivery Service (Metro Manila Only)
✅ Eligibility

Minimum item value: ₱2,500 (excluding packaging materials).

Full payment required within 7 days of invoicing.
🚫 Not Eligible For Free Delivery:

Stored/"patabi" items.

Backorders or In-stock items under installment plans.

Special sale products (e.g., Year-End Sale).

Oversized items that won’t fit in the delivery vehicle.

Customers with abandoned/joy-dibbed orders.
- Pending deliveries via Lalamove/Grab (NOT eligible for free delivery) cannot be combined with new arrivals to meet the ₱2,500 threshold. Free delivery eligibility is based on qualified batches only.
📦 Combining New Arrivals with Pending Free Delivery Batches:
If you already have a pending, eligible FREE Delivery batch waiting for dispatch, new arrivals valued below ₱2,500 may be combined with that batch, as long as they are ready at the same time.

🗓 Schedule & Grace Period:

Deliveries are batch scheduled by GeekLoveph based on delivery areas/cities.
- NO RUSH DELIVERIES.
- If you prefer to receive your order sooner or on a specific date, we can also arrange delivery via Lalamove or Grab. In that case, you'd simply need to pay the rider upon delivery.

Notification will be sent at least 24 hours in advance.

20-minute grace period upon delivery arrival at the drop-off point.
-
Failure to receive within the grace period = forfeited slot. The order will then default to regular courier delivery (Lalamove, Grab, J&T, etc.).
🔔 Important Notes:
- This is a delivery option, not a promotion, and is not governed by DTI or any government regulatory body.
- If the wait time or terms of the Free Delivery Service are not suitable for you, you may opt to book your own Lalamove or Grab at your own expense.
📌 GeekLoveph reserves the right to modify, reschedule, or cancel free delivery schedules or terms without prior notice.
PART 5: WARRANTY CLAIMS
📦 Packaging & Art Box Policy

The art box, shipper box, or any packaging used to house the product is intended solely to protect the actual collectible during transit.

Box dents, tears, scratches, creases, or other packaging imperfections are NOT covered by replacement, refund, or manufacturer warranty.
-
No refunds or reimbursements will be accepted for cosmetic damage to packaging materials.
-
Only damage to the actual product may be eligible for warranty review (see below).
✅ Manufacturer Warranty Assistance

Geekloveph is not a toy or collectible manufacturer.
-
We act solely as a retailer and distributor of these products.
-
Warranty claims for actual product imperfections, factory defects, or quality control issues must be filed directly with the manufacturer.

Geekloveph cannot guarantee approval of manufacturer warranty claims. Approval or denial of such claims is entirely at the discretion of the manufacturer.

Refunds, returns, or exchanges WILL NOT be entertained by Geekloveph for defects, imperfections, or quality control issues

Geekloveph is an official partner of Good Smile Company, an official retailer of Kotobukiya, and an official partner of Iron Studios.

As an authorized retailer, we can assist customers in raising warranty concerns to the manufacturer for eligible products.
-
Our responsibility as a retailer is limited to providing proof of purchase from our store to support your claim.
-
We are not the manufacturer and cannot guarantee warranty claim approvals. Resolution will solely depend on the manufacturer's evaluation and policies.
PART 6: ABANDONED & JOY-DIBBED ORDERS
🚫 What is an Abandoned or Joy-Dibbed Order?
Failure to complete payment for a preorder commitment—whether partial payment, or balance—is considered order abandonment (also known as joy-dibbing).
⚠ Penalties for Abandoned/Joy-Dibbed Orders:

All deposits, partial payments, and full payments on abandoned/joy-dibbed orders will be automatically forfeited.
-
This forfeiture applies to ALL your orders—including pending preorders that have not yet arrived.
-
Geekloveph reserves the right to cancel, void, and resell any fully paid, partially paid, reserved, or pending preorder items to recover losses.
-
Customers with abandoned/joy-dibbed orders will be permanently banned from placing any future orders with Geekloveph.
-
All privileges (free delivery, discounts, GeekPoints, promos, installment plans, preorder access) will be permanently revoked.
-
Abandoned accounts cannot be reinstated, even if the product is sold out or no longer available.
-
In the event of a supply cut or allocation cut from a manufacturer or distributor, customers with abandoned order strikes are NOT eligible for a refund of their deposits.
-
Instead, their deposit will automatically be reallocated to their other pending orders to offset future balances or remaining commitments.
-
🔁 How to Lift a Ban (PASALO Option):
-
The only way to lift a ban is through PASALO—finding another buyer to officially take over the preorder commitment before the item is sold off.
-
Partial payments do not guarantee reservation unless full payment is completed. Geekloveph may resell any abandoned, partially paid item at any time. Once sold, any partial payments made are automatically forfeited and non-refundable.
- PASALO transactions must be completed within 7 days from notification of order arrival. After that, Geekloveph reserves the right to cancel and resell the item.
💳 Payment Allocation for Existing Strikes:

If a customer with abandoned orders wants to settle payment:
-
Payments will first be applied to the most expensive in-stock abandoned item.
-
ALL in-stock abandoned orders AND all pending preorders must be fully settled before ANY items will be released.

📌 Customer Responsibility:
-
It is the sole responsibility of the customer to ensure that their contact information (email, mobile, delivery address) is correct and up-to-date.
-
Failure to receive email/SMS reminders does not exempt you from payment obligations. Customers must actively monitor their accounts and emails for preorder updates.
-
Geekloveph sends multiple automated reminders via email before an order is tagged as abandoned.
📭 Unresponsive Customers:
-
Order Arrival Notifications are sent via email/SMS as soon as your order is ready.
-
Multiple reminder emails are sent within a 7-day period.
-
If payment is not completed within 7 days, the order will be marked as “Abandoned.”
-
One (1) abandoned order = permanent account ban. All pending orders will be automatically canceled.
-
Voided preorders will be offered to other customers without further notice.
PART 7: Allocation and Supply Cuts
Occasionally, manufacturers or distributors may implement supply or allocation cuts due to factors such as production limitations, regional quotas, or distributor shortages. This is beyond the control of Geekloveph and other retailers.
✅ For Customers in Good Standing:

If your order is affected by a supply/allocation cut and your account is in good standing (i.e., no abandoned or joy-dibbed orders), your deposit may be refunded in full or transferred to another active order of your choice.
🚫 For Customers with Abandoned/Joy-Dibbed Orders:
-
Customers with an abandoned order record are NOT eligible for refunds on affected preorders or deposits.
-
Any deposits on allocation/supply cut items will automatically be applied to their other pending balances or abandoned orders, as stated in our Abandoned Order Policy.

No cash refund, transfer, or exchange will be provided.
Finality of Terms
By placing any preorder or reservation with Geekloveph, the customer agrees to all terms of this policy. Geekloveph reserves the sole right to interpret and enforce these terms to protect the store from losses. No exceptions will be made unless explicitly granted by Geekloveph management.
